As the Events Coordinator for our luxury fashion brand you you will be responsible for designing and executing exclusive events and experiences for our VIP members. You will play a crucial role in strengthening relationships with high-profile clients and enhancing their loyalty to our brand through exceptional event planning and personalized service.
Key Responsibilities:
VIP Event Planning and Coordination:
- Design, plan, and execute high-end events exclusively for VIP members, including private fashion shows, collection previews, trunk shows, and personalized shopping experiences.
- Collaborate with the marketing and design teams to develop unique event concepts and themes that resonate with VIP clientele.
- Coordinate all logistical aspects of events, including venue selection, catering, entertainment, and transportation.
Relationship Management:
- Build and maintain strong relationships with VIP members, ensuring their needs and preferences are understood and met.
- Serve as the main point of contact for VIP members regarding event invitations, special requests, and personalized services.
- Develop strategies to engage and retain VIP members through exceptional event experiences and personalized attention.
Budget and Vendor Management:
- Develop and manage event budgets, ensuring all activities are cost-effective and aligned with the brand’s standards.
- Source, negotiate, and manage relationships with external vendors and service providers.
- Ensure all contracts and agreements with vendors reflect the brand’s high standards and deliver optimal value.
Marketing and Promotion:
- Work with the marketing team to create compelling promotional materials and communications for VIP events.
- Manage invitations, RSVPs, guest lists, and follow-up communications with VIP members.
- Utilize CRM systems to track and analyze VIP member engagement and event attendance.
On-Site Event Management:
- Oversee all on-site logistics and operations during events, ensuring seamless execution and a luxurious experience for VIP attendees.
- Coordinate event staff, including hosts, hostesses, and service providers, to deliver impeccable service.
- Address any issues or concerns that arise during events promptly and professionally.
Post-Event Evaluation:
- Conduct post-event evaluations to assess the success of events and gather feedback from VIP members.
- Prepare detailed reports and analysis on event performance and VIP member engagement.
- Use feedback and data to inform future event planning and enhance the overall VIP member experience.
Qualifications:
- Sence for Event Management, Marketing, Hospitality and Event Planning.
- Experience in planning and executing high-end events, preferably within the luxury or fashion industry is bonus.
- Exceptional organizational and project management skills.
- Strong interpersonal and communication skills, with a focus on customer service.
- Ability to work under pressure and manage multiple tasks simultaneously.
- Proficiency in event management software and CRM systems is preferred.
- A keen eye for detail and a deep understanding of luxury brand standards.
